Site entry and exit for volunteers

SignMeUp offers a site entry and exit system for volunteers which allows them to be registered when they arrive at your event or when they leave using QR codes.


A volunteer can sign in and out either themselves or by an admin.  It is quicker to allow your volunteers to self-register rather than having admin process them.  If you have a large team of volunteers you may wish to consider self-registration.


Self sign in/out

In order to allow volunteers to sign themselves in/out you will need to have printed the event QR codes to display at your entry/exit point.  These codes can be found in the events section of the organisation settings area.  After the name of the event there is a series of icons:


The one in the middle, which looks like a QR code, is where you can download all the event QR codes.  Entry and exit codes will be in this document.


To sign in/out a volunteer will need to use a device with a camera to scan the code.  They will then see the following message:

Clicking on the top button takes the volunteer to SignMeUp where they will need to log into their account.  This will log their entry or exit (depending on which QR code they have scanned.  Clicking on the bottom option takes the volunteer through to a screen where they need to enter their badge number and postcode.  Doing this will log their entry or exit. 


A volunteer can only self-register using the QR code if they either have their own SignMeUp account or they have been given their event badge.  So an under 16 year old volunteer without a badge would not be able to self-register as they do not have a SignMeUp account and do not have their badge details to enter. But an under 16 year old volunteer with a badge would be able to self-register as they can use the badge details. Anyone who is unable to self-register will need to have their attendance logged via the admin area.


Signing in/out via admin

If a volunteer is unable to self-register then this can be done by admin either by using a device logged into an account with scanner access and scanning the correct QR code on the volunteer’s badge, or by going in the volunteer’s application and clicking on the ‘training and attendance’ tab.  Here you will see the option to sign them in/out
