As well as having volunteers and attendees applications, your event can also register guests. This means you can keep a record of the additional people who have entered your site within the event. If you expect to have different types of visitors, such as parents with toddlers who do not need to pre-register for the event and guests attending evening activities, you can create different guest types.
You will be able to print badges for your guests and create reports of their attendance. QR codes can be printed from your event area for guests to scan to register.
Buttons
Creating guest types
By clicking on the create button you will enter the guest type creation section. You will need to give your guest type an unique name which identifies the type of guest they are.
The registration form introduction box allows you to add a description of what the guests are registering for. It is worth keeping the information included here short and concise so that your guests don’t just skip over it.
Automatic site entry
Once you have given your new guest type a name and a description you will need to choose if completing the registration form automatically signs your guest in, or if you want to sign them in via the admin area or by scanning their badge QR code.
Guest application forms
In order for your guests to register they will need to complete the guest registration form. You can set this up in the ‘Application Forms’ section of your organisation set up. Each different guest type will have their own registration form, allowing you to tailor the questions you ask to the specific groups of guests.
When creating the registration forms be mindful of the questions you are asking - what is the purpose of the data you are gathering? Guests do not need to provide as much information as volunteers or attendees. For example, you probably will not need to know the date of birth of your guests.
Further information on how to customise application forms can be found within the article titled ‘Application Forms’.
