There are two types of status attached to applications which link to DBS checks. The ‘application DBS status’ and the ‘DBS check status’.
The application DBS status gives information on whether the volunteer application requires a check or if they already have one (with some basic details of that check).
The DBS check status gives information on how far through the DBS process a check is.
Below you will find details of the different statuses which might be attached to an application and their meaning.
‘Application DBS Status’ statuses
Status | Description |
Required, processing | The volunteer has offered to helper with one or more roles that require a DBS check and no valid DBS check was provided during registration or is held on record. A new check is being processed |
Completed, clear | This volunteer has a clear DBS check which meets your organisation's requirements |
Not required | This volunteer application has no roles that require a DBS check or this volunteer or is too young to require a DBS check |
Outside UK | The volunteer has offered to help with one or more roles that will require a DBS check, but they have indicated on the DBS question that they live outside of the UK. Admin should risk-assess this volunteer before accepting their application |
Completed, non-blank | This volunteer has a DBS check that is non-blank, meaning that there is some information revealed in the check. Volunteers with a non-blank DBS check should be risk-assessed by the admin team before accepting their offer of help.
Applies even if DBS check not required for their role at the current event |
Needs attention | The volunteer has offered to help with one or more roles that will require a DBS check and this volunteer has a DBS check with a status of: Awaiting admin approval, Awaiting correction, Awaiting non-blank certificate review or Awaiting certificate review
A completed form cannot be sent for processing unless it has received admin approval for the DBS credit spend |
Insufficient | This volunteer has a valid DBS check, but it is not does not meet the requirements stated by your organisation for the most stringent role on the application. A new check will need to be completed which is of a sufficient level. |
Insufficient, non-blank | This volunteer has a valid DBS check, but it is not of at least the type required by the most stringent role on the application and this volunteer has a DBS check that is non-blank, meaning that there is some information revealed in the check. |
‘DBS check status’ statuses
Status | Description |
Awaiting volunteer identity info | The volunteer has not yet completed their DBS identity check form |
Awaiting admin approval | The volunteer has completed the identify check form and it is waiting for admin approval
An admin must approve the credit spend (there must be available funds for this) |
Awaiting document check | The volunteer has completed the form and admin has approved the credit spend
A document checker needs to review the information and complete the document check part of the form |
Awaiting correction | The checked failed validation from APCS (the DBS processor used by SignMeUp) and there need to be corrects made to the form |
Awaiting certificate | Once the form has been checked and submitted for processing this status applies until the certificate details have been received |
Awaiting non-blank certificate review | The certificate details have been returned but the result was indicative and needs to be reviewed |
Awaiting certificate review | This is applied to certificate details added manually
The certificate should be reviewed in person by an admin |
Certificate is non-blank | This shows that this DBS check is indicative (not blank)
The system will mark this is a valid completed check but will flag the application as further risk management needs to be done by the organisation admin |
Certificate is Clear | The certificate returned from processing is clear Or A manual certificate has been verified as clear by admin
This is a valid and complete check |
Certificate has changed | If the certificate is registered on the update service and the details have changed this status will apply.
This certificate is now invalid and the volunteer does not have a complete check |
Cancelled | The check was manually cancelled by an admin (e.g if the volunteer withdraws their offer of help) |
