When your organisation is set up it will need to be decided if valid DBS checks issued by other organisations will be accepted for use in your organisation.
If you choose not to use DBS checks from other organisations then when a volunteer registers to help, they will be asked if they have a current DBS and if it has been issued by your organisation (assuming their age and role require them to). If they say they have a current DBS check but it is not issued by your organisation they will see a message telling them they will need to apply for a new check through your organisation. If your organisation already holds valid DBS details for this volunteer they will not be asked about DBS checks, but instead will be shown a message saying that the organisation already holds DBS details for them which should be able to be used.
If you choose to use DBS certificates from other organisations then when a volunteer registers to help, they will be asked if they have a current DBS and if it has been issued by your organisation (assuming their age and role require them to). If they say they have a current DBS check but it is not issued by your organisation they will be asked to provide the details of this check. They will then be told that this check may be sufficient and the organisation will contact them.
Top Tip! - If a volunteer has provided details of a new certificate and your organisation has not viewed the certificate you will need to contact the volunteer to arrange checking the certificate details. This is to ensure that the correct level of check has been done (enhanced or enhanced with barring) and to view anything which may have been disclosed on the certificate. The update service will not give details of the level of the check or specifics of anything disclosed if it was an indicative result. Not only will you need to see the original certificate but you should also ask to see a piece of photo ID to prove that the certificate relates to the volunteer. This check should be done in person or via video call.
