DBS Checks - Dashboard Area Overview

This area of the navigation bar opens up the DBS check dashboard area.  Here you will be able to see all of the volunteers who have volunteered for a role which has been set to require a DBS check (and are old enough to be checked).  Only admins with full system access, or volunteer permissions or DBS permissions will be able to view this area.  Remember the information in this area is especially sensitive and the details should only be exported is absolutely necessary.  Any exported data should be stored and destroyed in accordance with your organisation’s privacy and GDPR policy.


At the top you will see a banner showing how many remaining DBS check credits your organisation has.  

A completed DBS form cannot be submitted without there being available credit.  More credit can be requested at any time.


Statuses

Each volunteer will have an Application DBS Status listed in the default view. These statuses show the admin if any action is required for this volunteer.  If the status is shown in blue, then no further action is required, with the exception of 'completed, non-blank'.   In this instance the admin should review the details on the DBS certificate and decide if the volunteer is suitable for the role they have applied for.

Required, processing

The volunteer has offered to help with one or more roles that will require a DBS check and no valid DBS check was provided during registration or is held on record.  A new check is now being processed.

Completed, clear

This volunteer has a clear DBS check which meets your organisation's requirements

Not required

This volunteer application has no roles that require a DBS check or this volunteer or is too young to require a DBS check

Outside UK

The volunteer has offered to help with one or more roles that will require a DBS check, but they have indicated on the DBS question that they live outside of the UK.  Admin should risk-assess this volunteer before accepting their application

Completed, non-blank

This volunteer has a DBS check that is non-blank, meaning that there is some information revealed in the check.  Volunteers with a non-blank DBS check should be risk-assessed by the admin team before accepting their offer of help.


Applies even if DBS check not required for their role at the current event

Needs attention

The volunteer has offered to help with one or more roles that will require a DBS check and this volunteer has a DBS check with a status of: Awaiting admin approval, Awaiting correction, Awaiting non-blank certificate review or Awaiting certificate review

Insufficient

This volunteer has a valid DBS check, but it is not does not meet the requirements stated by your organisation for the most stringent role on the application.  A new check will need to be completed which is of a sufficient level.

Insufficient, non-blank

This volunteer has a valid DBS check, but it is not of at least the type required by the most stringent role on the application and this volunteer has a DBS check that is non-blank, meaning that there is some information revealed in the check.



Viewing DBS overview for specific volunteers

If you click on the view icon beside a volunteer then you will be taken to the volunteer’s DBS check overview area.  This area lists DBS details provided to your organisation in the current, and previous, applications.  Here you can view the details of the checks, manually create a new entry and create a new online check (this sends the applicant an email requesting them to begin the DBS check process).


This is an example view of a volunteer’s DBS checks.


You can see that this helper has an accepted check, which was manually entered  with a blank certificate (meaning that there was nothing reported on the certificate).  The certificate details and if it is registered on the update service can also be seen here.  In the example above you can see the type is ‘manual.  This means that the certificate details have either been added by the volunteer during registration or the organisation admins after registration.  The other type is ‘online’ which shows that the volunteer did not add certificate details during registration and has a DBS check being carried out through SignMeUp.


Clicking on the view icon you can review further details, such as what level of check this certificate relates to and details from the update service, if it is registered on it.  You can also edit if the check is registered on the update service and add admin notes about the certificate by clicking the edit certificate button .
